Position Purpose To provide professional support and direct administrative assistance to the CEO and Realtor team, including dealing with and managing highly sensitive and/or confidential matters, using independent judgment, tact, and discretion. Duties and Responsibilities: Manage operational schedules, manage appointments/ meetings, and monitor activities to meet company deadlines. Manage procurement and inventory to ensure the maintenance of office supplies and general office maintenance. Support agents in closing listing presentations and being present in client meetings, where deemed necessary. Attention to detail and problem-solving skills. Responds to phone calls, emails promptly. Creates and organizes prospect/client files and oversees customer relationship management database. Manages general office files including the company website, job files, vendor files, and other files related to the company’s operations and collaborates with all parties to ensure required documents are complete. Additional duties include managing social media, marketing, publishing newsletters, and coordinating client events. Complete basic bookkeeping tasks, track office expenses including petty cash, invoicing, accounts receivable, and ensure the monthly budget is adhered to. Welcoming visitors professionally and respectfully and directing their inquiries appropriately to meet their needs. Overseeing the maintenance of office facilities and equipment. Performing other relevant duties as needed. Requirements: A Diploma or Degree in Business, Administration, or a related field. 3 or more years of Office Administration experience. Ability to work under pressure and in a fast-paced environment. Ability to work independently or with minimal directives or instructions. Customer-focused, proactively handles challenging situations, able to collaborate, solve problems, and exceed customer expectations. Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook, Access, and Google Docs). Handle confidential information and manage office security as required. Adaptable, learns quickly, and responds effectively to varied challenges. Task oriented with high quality, organized, able to re-prioritize throughout the day, a strong sense of urgency, and personal accountability. Real estate experience is helpful, not required.
